Vilarina Terms and Conditions

Your account

You are responsible for the accuracy of your signup information, keeping your login secure, maintaining your shop content, and ensuring your products, policies, fulfilment, tax settings, and customer communications are lawful and accurate.

Shop owner responsibilities

You are the merchant of record for your own shop unless we agree otherwise in writing. You are responsible for your product descriptions, pricing, stock, delivery options, returns policy, customer service, fulfilment, refunds, tax treatment, VAT settings, legal compliance, and any promises made to your customers.

You must keep your contact details, payment settings, billing details, shop policies, and administrator access up to date. You must not give platform access to anyone who is not authorised to operate your shop.

Acceptable use

You may use Vilarina to build and operate a legitimate ecommerce shop. You must not use the platform to mislead customers, infringe rights, evade laws, abuse payment services, distribute malware, harvest data, or interfere with the platform or other shops.

Prohibited products, services and activity

You must not use Vilarina to sell, promote, arrange, or facilitate any prohibited goods, services, content, or activity, including:

• Pornographic, sexually exploitative, obscene, adult-only, or non-consensual sexual content or services.
• Illegal drugs, controlled substances, drug paraphernalia, synthetic drugs, or products intended to evade drug laws.
• Firearms, ammunition, explosives, weapons, weapon accessories, or products designed to cause harm.
• Stolen goods, counterfeit goods, pirated goods, unauthorised replicas, or goods that infringe intellectual property rights.
• Fraudulent, deceptive, misleading, harassing, hateful, violent, extremist, or unlawful products, services, content, or activity.
• Financial, medical, regulated, age-restricted, sanctioned, or high-risk products or services where you do not have the required licences, permissions, or payment processor approval.
• Any product, service, content, or activity prohibited by applicable law, sanctions rules, Stripe or other payment provider rules, hosting rules, or Vilarina policy.

Payments and subscriptions

Vilarina subscription fees are charged according to your selected plan and any agreed add-ons. Prices may vary by catalogue size, features, custom domain setup, fulfilment integrations, managed support, or other services agreed with Vilarina.

You authorise Vilarina or its payment provider to collect subscription charges when due. If payment fails, we may restrict access, suspend paid features, or cancel the shop subscription after reasonable attempts to resolve the issue.

Each shop owner is responsible for configuring their own customer payment settings, delivery options, VAT or tax details, invoice details, and customer-facing terms for each shop.

Customer data and privacy

You must only collect and use customer information for legitimate shop purposes and in line with applicable data protection laws. You are responsible for your own privacy notices, marketing consent, mailing list exports, customer communications, and any data you download or process outside Vilarina.

Vilarina may process account, shop, order, billing, support, and technical information to provide, secure, maintain, troubleshoot, and improve the platform.

Intellectual property and shop content

You confirm that you have the right to use all logos, images, designs, product descriptions, documents, fonts, names, marks, and other content uploaded to your shop. You must not upload or sell content or goods that infringe another person’s intellectual property rights.

Vilarina and its platform design, software, workflows, branding, documentation, and administration tools remain owned by Artisan Software Solutions Limited or its licensors.

Service availability and changes

We aim to keep Vilarina reliable and available, but we do not guarantee uninterrupted or error-free service. Maintenance, hosting incidents, third-party payment services, DNS configuration, internet issues, updates, or security work may affect availability.

We may change, improve, add, remove, or restrict features where needed for security, compliance, platform quality, commercial reasons, or product development.

Enforcement

Vilarina may review shops, request further information, refuse or remove prohibited content, suspend access, disable checkout, cancel a subscription, or terminate a shop where we reasonably believe these terms have been breached or where continued service creates legal, platform, payment, or reputational risk.

Changes to these terms

We may update these terms from time to time. Where changes are material, we will take reasonable steps to notify affected shop owners. Continued use of Vilarina after updated terms take effect means you accept the updated terms.
